Refunds and Returns Policy for Embeddedscience.org

1. General Policy

Embeddedscience.org and the Artificial Intelligence Basis Foundation (AIBF) aim for complete satisfaction with our technical reporting, newsletters, and foundation governance. Because our primary products are digital (newsletters and access) and organizational (voting rights), we employ a specific prorated refund model to account for the value already delivered during a term.

2. Subscription and Sponsorship Refunds

Refunds for all paid levels—including Bronze, Silver, Gold, Platinum, and Founding—are calculated based on the remaining full months of the annual term.

The Refund Formula

Refunds are processed according to the following calculation:

• “Months Accrued” includes any month in which the subscriber had access to the paid newsletter, foundation filings, or participated in a board-level vote/meeting.

• A partial month of service is counted as a full month accrued.

• Refunds are calculated based on the base annual fee paid at the time of transaction.

3. Foundation Governance & Voting Rights

Upon the confirmation and processing of a refund, all associated governance rights—including proxy votes, direct votes, and board-level seats—are immediately revoked. Any votes cast during the “Months Accrued” period remain valid in the historical record but cannot be retroactively altered.

4. Digital Content & Newsletters

As our newsletters (including the Embedded Daily³) are digital intellectual property, access to the paid archives and member-only “Deep Dive” features will be terminated upon the issuance of a refund. No “returns” of digital data are required; however, the unauthorized distribution of materials accessed during the subscription period remains a violation of our Terms and Conditions.

5. Refund Request Process

To initiate a refund, the account holder or authorized company representative must:

1. Submit a written request to stephen.vicinanza@shlae.com.

2. Include the original transaction ID and the reason for the request.

3. Allow 7–10 business days for the AIBF to confirm the “Months Accrued” and issue the final prorated payment to the original payment method.

6. Exceptions

• Founding Level: Due to the bespoke nature of Founding Sponsorships and their impact on foundation direction, these refunds may be subject to additional board review as specified in individual donor agreements.

• Administrative Fees: We reserve the right to deduct a 3% processing fee to cover third-party merchant costs (Stripe/PayPal) incurred during the original transaction.
